Roles - Overview
After creating a Snap Recording account, you can invite team members to collaborate on creating phone messages and managing updates to your phone system. You can also assign each user a specific access level within your account.
Role | Key Permissions | Limitations |
Admin | Full access to all projects, phone systems. Can team management and subscriptions. | Cannot transfer account ownership |
Manager | Manage public/shared projects and upload to phone systems. | No access to private projects unless shared |
Editor | Create, edit, and share projects with limited “by-invite-only” phone system upload access | Cannot manage subscriptions or groups |
Viewer | View-only access. | Cannot create, edit, share, download or upload content |
How to invite team members
- Log in to your account.
- Click your account name and select “Team Members” from the drop-down menu.
- On the Team Members page, invite users to share your account and assign them a role to control their level of access.
Access and Sharing
Projects and Groups can be set as:
- Public: Accessible to all team members (default setting)
- Private: Restricted access where you choose who to share with
Key Principle: Access to shared items is based on the recipient's role permissions. Account Owners and Admins have unrestricted access to all projects & groups.

* By default, Editors cannot upload messages to the phone system. However, Owners, Admins, and Managers can invite Editors to a group, allowing them to upload messages only to the phone system locations within the group.
**Group functionality is only available for RingEX AMS subscribers.
Phone System Integration
Snap Recordings integrates with various phone systems. Available features depend on your integration:
- Basic integrations: upload audio files to your phone system repository
- Advanced integrations with AMS: installation of audio directly into phone system extensions, scheduling, bulk uploads, group management & more
Accounts without integrations do not have any phone system management features

What are Projects?
Projects are where you create your messages. We offer three types of projects:
- Phonzai - Create AI Voice messages Instantly
- RealVoice - Submit Scripts to Professional Voice Talent
- Mixes - Use Existing Realvoice or Phonzai messages to construct On-hold Messages
What is AMS?
AMS is the fastest and easiest way to manage your phone system. Organize and change messages on the fly, schedule phone system updates and apply changes in bulk when managing multiple locations.
